When planning an event or party one of the hardest aspects is the purchasing of supplies such as food and the supply of elements such as seating, cutlery and glasses. There are a number of ways to help in the accuracy of these decisions.
When planning an event or party, working out your guest list is important. Here’s a few hints on doing the numbers so you can rest assured you’ve got the supplies you need to keep everyone fed and watered.
RSVPs
It seems obvious, but the simple RSVP is a lifesaver. While less important for more informal parties, when you’re planning a catered or formal event, an RSVP list is a must.
So make sure you include a Respondez S’il Vous Plait date somewhere in the invitation. By asking guests to confirm that they’re attending your special event, and even following up with a gentle reminder, you’ll reduce the chances of either under or over catering. Which helps when you are trying to stick to a budget.
Doing the guess work
Once you have a fairly good idea of numbers, you might still have to take into account some people aren’t great at replying (ok, they’re slackers, let’s be honest).
Some events will attract a lot of last minute attendees – New Years Eve is a classic example of people hedging their bets waiting for a better party invite.
So, when estimating your party supplies, take into account the type of event you’re holding and – also the people you’ve invited (only you know how flaky your friends are!)
As a rule of thumb, having too much food and drink rather than not enough is the way to go.
